A single-source provider for office system and solution needs, Better Office Systems (BOS) of Atlanta focuses on providing mid-sized businesses with all the products and services needed to efficiently run their office environment. Through its extensive client review process, it provides the right products and services at the right time.
“We want our customers to focus on growing their business while we focus on reducing their office costs and increasing their productivity,” says Brian Mould, president and founder of BOS.
In an effort to diversify the company’s business, Mould was drawn to Epson for its range of innovative technologies, from LCD projectors to wide-format printers and high-speed document scanners. But what specifically enticed him to sign on as an Epson BusinessFirst partner was the WorkForce Enterprise MFP portfolio.
“Epson enables us to have a wider array of products and services that we can provide not only to our existing clients, but also to new prospective clients in markets that we have not been able to enter before,” he added.
Better Than the Competition
“We have many clients who purchase 55, 65 and 75 ppm dry toner machines from us,” Mould explained. “They use a lot of power, especially when warming up and to maintain the temperature on the fuser systems on long runs. This is particularly true when using thicker paper. The Epson machines are more efficient and use far less power.”1
It’s essential to find the right fit for the customer with any piece of office equipment, and Better Office Systems works to find the most suitable machine for a client’s business needs and budget. So when Mould saw the Epson WorkForce Enterprise WF-C21000 and WF-C20750 A3 color MFPs, he decided that Epson would be a good partner for Better Office Systems.
“Partnering with Epson and adding the WorkForce Enterprise models to our product offerings sets us apart from the competition,” he said. “In terms of the rate and cost of service, we can offer pricing more aggressively to our clients and move them away from dry toner machines to innovative, futureproof solutions.
“One of the big selling points is the Epson WorkForce Enterprise machines’ low power consumption.1 Dry toner machines use a lot of power, especially when they’re warming up,” continued Mould. “The Epson machines don’t need to do that because they’re not heating up the fuser in order to melt the toner onto the page. They use fewer moving parts, reducing maintenance, and use high-yield consumables, ultimately minimizing waste.”
Engineered with PrecisionCore Heat-Free Technology, the WorkForce Enterprise lineup offers the lowest power consumption in its class1 and fast printing speeds up to 100 ISO ppm2 (black/color) with practically no warm-up time. The WF-C21000 color MFP prints at 100 ISO ppm,2 the fastest print speed in its class,3 and the WF-C20750 color MFP prints at 75 ISO ppm.2 Requiring minimal intervention with few maintenance parts, the lineup is designed to minimize waste.
In an effort to be more sustainable, Better Office Systems works with a paper-tracking company that monitors its usage as well as its clients. “For every 8,000 sheets of paper used, the company plants a tree. This aligns with our Epson partnership as well. Epson brings sustainable printing to businesses with its heat-free technology,” Mould said.

Meeting the Needs of Unique Markets
With the Epson WorkForce Enterprise MFPs, unique business markets opened new opportunities for Better Office Systems.
“We placed the WF-C21000 in a plastic surgeon’s office, which I find astonishing,” shared Mould. “They wanted the 100 ppm printing option. They love the speed of it even though it is not being used in what one would consider to be a traditional application.
“One of our clients owns a number of restaurants and prints single-use menus that are discarded after use. They change their menus on a monthly basis. What’s unique about this client’s printing is the paper they use is very thick and very coarse, almost like sandpaper. This paper gives its customers a tactile upper-scale feeling. They were printing 20,000-30,000 menus a month on dry toner machines and had to feed each sheet by hand to accommodate the slow runs required to melt the toner into the paper. However, the coarse paper would come into contact with the toner machine’s drums, taking the coating off the drums and destroying them. This became costly with service and parts.
“We placed the WF-C20750 because it operated extremely well with the unique paper. Since the feed roller is the only part that comes into contact with the paper, the print head doesn’t get damaged. They can easily just crank these menus out and send them to their various restaurants. Their production was reduced to a matter of hours from what previously was taking them days to execute.
“The WorkForce Enterprise lineup has proved to be extremely versatile. For example, we would have never been able to land business with DivcoData with its very high-end dry toner product needs. DivcoData produces hundreds of thousands of city, county and state tax forms for commercial and home properties. They used many high-end dry toner copy machines, which have a very large footprint and are very expensive. We were able to place a trial WorkForce Enterprise unit at their location to show them how well the Epson machines would work.”
When producing variable data forms, accuracy is key, and DivcoData was very pleased with the performance of WorkForce Enterprise MFPs. “They now have nine WorkForce Enterprise MFPs and run from 100,000-250,000 prints a month—all duplex, which the dry toner machines would never have been able to execute at the same speed.3 The print speed and quality has been amazing from the Epson units, and even at that volume, the machines have required very little service. These MFPs have been incredibly reliable,” Mould said.
After printing, DivcoData uses industrial-sized folder inserters to put the forms into envelopes, which are then shipped to different states and cities. Mould explained, “It’s a time critical output production environment that we would never have been able to perform with any of our dry toner machines.”
Epson and the WorkForce Enterprise MFPs have been able to meet and exceed the unique needs of existing and prospective clients. Better Office Systems has placed numerous WorkForce Enterprise units.
“Epson enables us to get into areas of production that we’ve never been in before,” Mould added.
